Position Summary

The Sales Administrator plays a critical role in supporting the sales and business development teams by ensuring smooth operational processes and accurate documentation. This position is responsible for maintaining CRM data integrity, preparing quotations and proposals, coordinating vendor registrations, and managing administrative tasks that enable efficient sales execution.

The role requires strong organizational skills, attention to detail, and the ability to handle multiple priorities in a fast-paced environment. Effective communication, collaboration with cross-functional teams, and proficiency in CRM and office tools are essential to ensure timely and high-quality deliverables that meet customer requirements.

Your Responsibilities

Depending upon your level of expertise and experience, your responsibilities may include:

  • Support the preparation and scheduling of business development meetings, including presentation materials and follow-up actions.
  • Assist in planning and coordinating travel for sales and business development activities.
  • Conduct preliminary client and market research to support lead generation and account planning.
  • Maintain and update the CRM system to ensure accurate client, opportunity, and sales activity records.
  • Prepare and format quotations in line with pricing policies and commercial terms.
  • Compile, review, and submit proposals and tender documents according to customer requirements and deadlines.
  • Track and follow up on submitted proposals, tenders, and quotations, recording outcomes in the CRM.
  • Coordinate vendor registration processes, including documentation and communication with customer procurement teams.
  • Maintain and update client mailing lists to ensure accurate distribution for marketing and business development communication.
  • Prioritize and manage assigned tasks within agreed timelines.
  • Recommend improvements to document templates, CRM data structure, and administrative processes.
  • Escalate client or proposal-related issues to the Sales Manager for decision-making.

Your Competencies

  • Bachelor’s degree in any field.
  • Minimum of 2 years’ work experience, preferably in sales administration, coordination, or related support roles.
  • Strong attention to detail and accuracy; able to maintain data integrity and produce high-quality documentation.
  • Demonstrated ability to manage multiple tasks, deadlines, and priorities in an organized manner.
  • Clear and professional communication skills—both written and verbal—when interacting with internal teams and clients.
  • Proactive in identifying issues, recommending solutions, and ensuring smooth workflow.
  • Proficient in CRM tools, Microsoft Office (Word, Excel, PowerPoint), and document management systems.
  • Effective team player who collaborates well with Sales, Business Development, and cross-functional teams.
  • Customer-focused; responds promptly and courteously to inquiries.
  • Able to handle high-volume tasks without compromising accuracy or timelines.
  • Capable of conducting basic client and market research and summarizing findings.
  • Adaptable to shifting priorities and evolving sales processes.
